Mississauga Potters' Guild Privacy Policy

Mississauga Potters’ Guild (‘MPG’ or ‘Guild’) is a not-for-profit arts organization committed to protecting the privacy of individuals who engage with our community—whether through pottery classes, events, or membership. This Privacy Policy is divided into two sections:

Part 1: Privacy Policy for the Public (Non-Members)

This section applies to individuals who participate in public pottery classes, workshops, special events, and sales but are not members of the Guild.

1. Information We Collect

  • Name, email, and phone number
  • Emergency contact (if required for workshops or classes)
  • Payment information for registration or purchases
  • Optional demographic or feedback information
  • Website interaction data (via cookies or analytics)

2. How We Use Public Information

  • Process class and workshop registrations
  • Communicate about upcoming sessions or events
  • Manage payments and send receipts
  • Respond to inquiries
  • Improve our programming and customer experience

3. Consent

  • By signing up for a class, workshop, or purchasing from us, you consent to our collection and use of your information for these purposes. You may withdraw your consent by contacting us at info@mississaugapotters.com

Sharing of Public Data

  • We do not sell or share your personal information. It may be shared only with trusted third parties who provide essential services (e.g., payment processing), under strict confidentiality.

Website and Cookies

Retention

  • Public participant information is retained only as long as necessary to fulfill program and administrative purposes.

Part 2: Privacy Policy for Members of the Mississauga Potters’ Guild

This section applies to current and former members of MPG, including volunteers and studio users.

1. Information We Collect

  • Membership status and history
  • Volunteer roles, committee participation
  • Studio access logs, shelf assignments, glaze and kiln usage
  • Attendance at member meetings or events
  • Communications with the Board or committees

2. Use of Member Information

  • Administer membership records and renewals
  • Facilitate volunteer engagement and studio operations
  • Communicate Guild news, decisions, and opportunities
  • Manage elections, voting, and internal policies
  • Recognize member contributions

3. Access to Member Information and Misuse Prevention

  • MPG maintains a strict policy on the handling of member lists. Access to full member data is limited to authorized roles (such as Admin, Studio Manager) based on operational need.
  • Any unauthorized use, sharing, or distribution of member information—including sending unsolicited messages—is strictly prohibited. Misuse may result in revocation of access, suspension or termination of membership, and/or notification to relevant authorities.
  • Concerns or suspected misuse must be reported to the Board’s Secretary at secretary@mississaugapotters.com or to any of the Board of Directors listed here https://mississaugapotters.com/members-only

4. Consent and Transparency

  • By becoming a member, you consent to the use of your personal information for internal purposes outlined above. You may request access or correction of your personal data at any time.

5. Data Security and Retention

  • All member data is stored securely and accessible only to authorized personnel. Member information is retained for the duration of membership and for a reasonable period afterward, as required for reporting and archival purposes.
